Unlike general planners, we focus specifically on business-critical events such as international conferences, executive retreats, product launches, and grand openings. Note: We focus exclusively on corporate and social gatherings and do not organize wedding ceremonies.
 

2. How far in advance should I book a Bali event planner?

For large MICE events (100+ pax), we recommend booking 3–6 months in advance. This lead time allows us to secure prime accommodation and venues which book out quickly in Bali. For smaller private retreats or parties, 1–2 months is typically sufficient, though we can often accommodate last-minute requests depending on venue availability.
 

3. Do you handle Banjar fees and police permits for events?

Yes, we manage all local authority compliance, including Banjar (community council) and police (Keramaian) permits. Handling these unique local regulations is a critical part of our service. We manage the negotiations, paperwork, and fees to ensure your event is 100% legally compliant and proceeds without interruption.

4. What happens if it rains during my outdoor event in Bali?

We mandate a "Wet Weather Contingency Plan" for every outdoor event. We do not rely on luck. Our team secures indoor backup spaces or professional marquees/tents as part of the initial planning. We make the final "weather call" 4–6 hours prior to the event using real-time radar data to guarantee guest comfort.

5. Can you find private event venues in Nusa Dua, Sanur, Ubud, Canggu, Seminyak, or Uluwatu?

Yes, we have an extensive network of venues across Bali, including Nusa Dua, Sanur, Ubud, Canggu, Seminyak and Uluwatu. Beyond the standard tourist spots, we can source distraction-free conference rooms, creative wellness spaces, or private luxury villas. We recommend locations based on your specific logistical needs (traffic access, privacy, capacity), not just aesthetics.

6. How much does it cost to hire a corporate event planner in Bali?

Our pricing is fully itemized and transparent, with no hidden costs. We provide a clear proposal that breaks down production, venue, catering, and our management fee separately. All local taxes, service charges, and potential Banjar fees are estimated upfront so you know the true cost before you sign.

7. Do you provide AV, lighting, and stage setup?

Yes, we act as your technical producer for all audio-visual needs. We manage stage fabrication, lighting design, LED screens, and sound engineering. Crucially, we supervise the setup to ensure international safety standards are met—a detail often overlooked by local providers if not professionally managed.

8. Can we bring our own alcohol or catering to the venue?

This depends on the specific venue's policy. While hotels usually require in-house F&B, many private villas allow external catering. Regarding alcohol, "Corkage Fees" are standard in Bali. We negotiate on your behalf to secure the best possible terms for corkage or beverage packages.

9. Will you be on-site to coordinate the event day?

Yes, our team is the first to arrive and the last to leave. We provide full on-site management, not just planning. We run the minute-by-minute schedule, coordinate all vendors, manage guest logistics, and resolve any issues immediately so you can focus on your guests.

10. What are the payment terms for Esa Events?

We typically require a 50% deposit to secure our services and the venue. The remaining balance is due 14–30 days prior to the event date to ensure all final vendor payments are cleared before execution.

11. Do you offer standard corporate event packages?

We create "Bespoke Packages" tailored to your specific goals. We understand the need for budgeting, so we can provide a structured framework (a base package) for seminars or retreats. We then customize this framework with your specific branding, venue choice, and activity wish-list to fit your exact requirements.

12. How do we plan a Bali event remotely from Singapore, Australia or Europe?

We bridge the distance with video consultations and virtual site visits. Many of our clients are in Australia, Singapore, and Europe. We schedule Zoom/Google Meet calls that fit your time zone, provide video walkthroughs of venues if you cannot fly in, and use digital project management tools so you can track progress in real-time without leaving your office.
