Why Your Hybrid Corporate Event in Bali Will Fail (And How We Fix the Tech)

The world has evolved, as we all know. Everyone has begun traveling again; however, the hybrid requirements persist, stronger and have proven to be more complicated than they ever were previously.


In 2026, when clients think of a hybrid corporate event in Bali, they envision something similar to Netflix's attention-grabbing productions. The expectation is that the group of 50 top executives in the Bali ballroom are bonding personally, while 500 employees watching from London and Singapore are seeing the same CEO live-streamed speech that will be broadcast as a crystal-clear picture.


How do we do that? The problem is that most event planners in Bali see hybrid events as a "Zoom Call" and put a laptop on a podium pointing a webcam at the stage and just pray the Wi-Fi stays up.

This results in pixelated video, awful audio quality/feedback, and a CEO who looks unprofessional.

At Esa Events we don’t do "Zoom Call" style. We do Broadcast Logistics. The difference is between a virtual mess and a professional hybrid production.


The Lies Related to "Villa Wi-Fi"

If a venue says they have "high-speed Wi-Fi", do not take their word for it! In Bali, "high-speed" often means they have inherited a shared residential line, which becomes excessively slow the minute 50 guests start connecting their smartphones to Instagram!

  • The Problem: The second your CEO begins delivering his or her keynote speech; your upload bandwidth gets throttled and your live-stream freezes!

  • The Solution: We provide Dedicated Bandwidth for all streaming events. For any Critical Internet Stream, we typically bond our fiber and backups altogether to create a secure and stable Internet connection to the venue. All Streaming devices are hardwired (Ethernet) into our Streaming Laptops; No Streaming will take place over WiFi.

The superiority of audio over video

Although a video may be out of focus, it can be overlooked as long as the audio is acceptable. If the audio on the presentation has an echo or worse yet a loud, disturbing, high-pitched squeal; the viewer is likely to lose interest after thirty seconds.

  • The Problem: The speaker's voice is recorded at five meters distance, using a video camera's built-in stereo microphone.

  • The Solution: We use a Direct Audio Feed. We take the audio directly from the speaker’s microphone into the streaming software. We also set up a "Mix-Minus" audio channel, which ensures the speaker can hear the remote audience questions without creating an echo loop in the ballroom.


The "Black Hole" environment for speakers

Have you ever spoken to a webcam? It feels as though your words are being lost into a void. The experience can drain the energy out of your presentation.

  • The Problem: The speaker can only view their own reflection on the main screen, but cannot see the remote audience.

  • The Solution: Set up Confidence Monitors (return monitors) at the base of the stage, facing the stage. This allows the speaker to see the remote audience during the presentation. It is akin to a "digital handshake."


Time Zones and Logistics

Time zones and logistics are math problems, not technology problems. For example, if the gala speeches are being broadcast to London, Bali time (7:00 PM) will be 11:00 AM in London and is not a good time slot.

  • The Solution to this Problem: Running the Event on a Broadcast Run-of-Show, where our high-profile presentations (Keynotes and Awards, etc.) are scheduled during the "Golden Window". During this time frame, both performance times overlap. Catering is arranged around the Streaming of the Event and not the Streaming of the Event around the Catering.


In short, what do you have? You have TV Programming, not Technology Support.

If you want to broadcast your Bali Retreat to the World, don't search for a "Virtual Planner." You need a "Producer."


Producers understand latency, lighting and load balancing.
